Polices & Procedures

Code of Conduct

Dellwood Country Club is dedicated to providing facilities for use by its members in pursuing their recreational, social and business entertainment objectives and to making available to its members an environment that is conducive to the achievement of those objectives. To that end, each member of the Club has a responsibility to the Club and his/her fellow   members, guests, Club employees and others with whom the member has interaction on Club premises or in connection with Club matters to refrain from conduct that is inappropriate or threatens the safety of members. Inappropriate conduct includes, but is not limited to, conduct that (1) interferes with or adversely  affects the ability of members or their guest (s) to enjoy the Club and facilities, (2) is illegal, (3) damages the Club’s facilities or otherwise reduces the value of the Club’s properties, (4) is in bad taste or is offensive to other members, their guests or Club employees, or (5) adversely affects the Club’s reputation in the community, its ability to attract or retain members, or its ability to attract or retain quality employees.

Compliance with this code of conduct and all Club Policies and Procedures is an essential requirement of membership, and integral to the membership contract applicable to every member of the Club. If a member or a member’s guest fails to abide by this code of conduct, the member may be subject to disciplinary action up to or including termination of membership.

A pattern of repeated failure to abide by the credit policy is considered willful violation of the code of conduct.

Nondiscrimination policy

Club employees, members or guests shall not discriminate against any person because of that person’s race, religion, creed, color, sex, national origin, age, physical disability, sexual orientation or marital status.

 Anti Harassment Policy

Dellwood Country Club strives to provide all members, guests, vendors, employees and contract employees an atmosphere and work environment free from harassment. Dellwood Country Club’s Management is committed to enforcing the Club’s prohibition of  harassment.

A) Definition of Sexual Harassment: Sexual harassment is a form of sex discrimination that is proscribed both by federal and state law. Title VII, through its corresponding regulations, and the Minnesota Human Rights Act (MHRA) each define sexual harassment in a similar manner. The statutes provide that the following behaviors constitute sexual harassment:

1)     Unwelcome sexual advances;

2)     Requests for sexual favors;

3)     Sexually motivated physical conduct;

4)     Other verbal or physical conduct of a sexual nature, when:

a) submission to that conduct is made a term or condition of an individual’s employment;

b) submission to that conduct is used as a factor in affecting an individual’s employment;

c) the conduct has the purpose or effect of substantially interfering with an individual’s employment;

d) the conduct has the purpose or effect of creating an intimidating, hostile or offensive environment.

In addition to these specific statutory prohibitions, the courts have expanded these forms of conduct to include intimidating physical conduct (even non-sexual in nature) and non-sexual verbal abuse that would have not occurred but for the sex of the victim.

A) Other Forms Of Harassment: Federal and state discrimination laws also prohibit other forms of harassment, including harassment based on an individual’s race, age, disability, national origin, creed, color, religion, marital status, status with regard to public assistance and sexual orientation. Any harassment based upon any of these characteristics is also prohibited and will be treated in the same way as sexual.

B) Reporting of Harassment: If you are subjected to the type of behavior described above, it is important that you report it. Without your report, we may not know that we need to investigate or initiate corrective action. If you are comfortable doing so, immediately advise the person engaging in the harassing behavior that you believe the conduct is inappropriate and you would like it to stop. If you are not comfortable    discussing the conduct directly with the person who engaged in the behavior, or if the behavior persists despite your objections, it is imperative that you report the conduct to the General Manager. Reports can be made in writing or in person, which ever you find easier. As described below, once a report of harassment has been made, the Club will promptly initiate an investigation into the allegations.

C) Investigation of Sexual Harassment: Upon receiving a harassment complaint, either in writing or through the person described above, the Club will promptly begin an investigation into the allegations that have been made. Typically the investigation will consist of interviews with the complainant, the alleged harasser, and other individuals who may have observed the incidents in question or who may have other pertinent information that will shed light on the allegations made.

D) Confidentiality: To the extent possible, Dellwood Country Club will maintain the confidentiality of the investigation into the harassment allegations. Note, however, that to conduct a thorough and impartial investigation, the Club may have to speak with a number of persons, and discuss specific allegations; for that reason, the Club cannot ensure complete confidentiality.

E) Retaliation: Both the Federal and Minnesota statutes prohibiting discrimination also prohibit retaliation against anyone pursuing his or her rights under the statutes. Dellwood Country Club’s  policy incorporates this anti-retaliation provision. No one who makes a good faith report of sexual harassment or who in good faith participates in any investigation of such report will be retaliated against in any way; there will be no adverse consequences for bringing forth information demonstrating that the Club’s sexual harassment policy has been violated.

F) Discipline: Each case of harassment will be evaluated independently, based on the totality of the circumstances. Dellwood Country Club, in its sole discretion, will determine the appropriate discipline or penalty to be imposed in a case where the harassment allegations are substantiated. This determination will depend on a number of variables, including though not limited to, the nature, severity, and frequency of the Conduct, the relative positions of the harasser and the victim, and other pertinent factors. Discipline could include the full range of penalties up to or including  termination of membership.

G) No Contract Rights: Nothing in this policy is intended to create, does create, or should be construed as creating any contractually binding obligations upon the Club. This policy has been promulgated to explain the Club’s general rules regarding this important area. The Club reserves the right to modify this policy, in its sole discretion at any time.

Liquor Sales Policy

The following rules apply to the sale or consumption of liquor on the Club’s premises:

1) No sales of intoxicating liquor shall be made between midnight and 8:00am daily.

2) No liquor shall be sold to or consumed on the premises by any person under the legal age. Identification cards will be requested of any persons (member and guests) who appear to be under 30.

3) No liquor will be sold to or consumed on the premises by any person who, in the   opinion of appropriate Club staff, is or appears to be intoxicated. The determination not to serve liquor to persons who appear to be intoxicated is a judgment call of the    server, bartender and/or manager on duty.

Dram Shop

We care! Dellwood Country Club wants everyone to be aware of the Dram Shop Law as it relates to liability of servers of alcoholic beverages. The law places liability squarely on the servers of alcoholic beverages if an intoxicated individual causes damage, injury or death as a result of having too much to drink. That includes your Club. This is why Dellwood Country Club has endorsed a very conservative attitude on service of alcohol to persons who appear to not be in full control of their faculties. It is a judgment call on the server,  bartender and/or manager on duty. If we politely refuse to serve anyone a drink, please understand that we are doing so in the best interest of our members.

Dining Policies

Grill / Member Bar

This is the Club’s casual dining facility.  Except for occasional special/theme events held in the Grill, reservations are recommended but not required. Seating is generally handled on a first come / first served basis. If, however, you know in advance that you may require a larger table for your group, or if you may have a guest with special needs, please feel encouraged to call ahead and speak with the manager on duty. Whenever possible, we will be happy to assist you with your requests.

 Ballroom /Fireside room

The Ballroom is most regularly used by the Membership during Holiday brunches and larger special events. The Ballroom is also utilized by functions such as wedding receptions, school groups, golf outing dinners and the like. As a Member of Dellwood Country Club, you have the added benefit of being able to reserve the Ballroom at half price Friday, Saturday, Sunday and free during weekdays. Please feel encouraged to call the Catering Office to book a date for a special event you may have for business or personal reasons.

Take out & Delivery food service

Take-Out Menus are available and includes the current Grill menu as well as banquet items. You are welcome to call the Club to request and place a special order for food to take home or be delivered (within a six mile radius of the Club). The kitchen staff will be happy to help you with dinners to take home, a selection of special hors d’oeuvres for a party you may be hosting, or simply packaging your favorite foods to enjoy at home.

GOLF

Checking In

All members and guests must check themselves in with Golf Operations before starting play, even if a tee time has been made, so that we can provide the level of service and attention you and your guests deserve. If you have a tee time, simply inform Golf Operations Staff that you have arrived and/or that you are ready to tee off, and the staff will inform you about whether you may proceed. They will also provide any additional information you may need before commencing play. Checking in also allows the Golf Shop to answer questions about your location and availability in case of an emergency. If you come out to the course without a tee time, the golf professional on duty will try to arrange for you to play, either singly or in a group.

Tee Times

Members should always make a tee time by calling the Golf Shop at 651-426-4733 or through our website (include names of guests when making tee times on ForeTees). Fivesomes are allowed provided the round is completed in 4:10 and does not hold up play of other groups.  Match play is only allowed after 10:00 am on weekends. The Pro Shop and management maintains and retains the ability to adjust tee times to optimize pace of play (see Pace of Play Guidelines at the end of the Golf  section).

Golf Dress Code

All members and their guests are to wear suitable golf attire. Members will be held responsible for their guests’ attire. Players must be neat in appearance with respect to clothing and personal grooming. Men must wear shirts with a collar and sleeves (mock necks are considered collars if they are at least 1” tall). Shirts must be tucked in. All shorts must be longer than mid-thigh. Attire deemed not suitable is: 1) denim (pants or shorts) of any color 2) athletic type shorts, 3) cutoffs, 4) halter or any open backed tops, 5) hard sole shoes or bare feet. Any questions or clarifications may be directed to Golf Shop personnel. Dress code violations will prohibit you from using the practice facilities or course.

Playing With The Pro

One of the more enjoyable aspects of the professional staff’s job is the opportunity to play golf with members. Each golf professional is encouraged to play with the members as often as  possible. A “play day” is scheduled for each professional. We encourage each member to take advantage of this opportunity. Information and details are available in the Golf Shop.

U.S.G.A. Rules

U.S.G.A. rules, shall govern all competitive and recreational play, with the following local rules:

  • Embedded ball rule in effect “through the green”
  • Free relief is provided from tagged trees
  • In course out of bounds on #5 is defined by the cart path on #4
  • In course out of bounds on #17 is defined by the cart path on #2

Handicap

Each player is responsible for reporting their adjusted score of all 9 or 18 hole rounds, in accordance with USGA rules and using Equitable Stroke Control. When playing in Mn. all scores must be posted when playing between April 1st and October 31st. Also, all adjusted scores outside of these dates should be posted when playing away in other locations.  Updated handicaps are received from the GHIN service on the first and fifteenth of each month. Please contact the Golf Shop or the Club’s Handicap Committee Chairperson  (Mike Hilliard) if you have any questions.

Any member may submit scores to receive a USGA handicap though the Club. Once a player is  registered, it takes a minimum of 5 scores to obtain a handicap card.  Handicaps are required for most of the golf events.

What is My Handicap and How is it Figured?

Golf handicaps are determined by a USGA formula so that any golfer can play other golfers (even a Jordan Spieth) in a “match.” We know of no other game that has such a great system for making a “fair game” between two players of unequal ability. Handicaps also make it possible for us to have tournaments for our members of unequal ability and to group those with similar ability in certain other tournaments. All handicaps are posted in the locker rooms. These are recalculated at the 1st and 15th of each month.

Your handicap is figured on the average of the lowest TEN of your last TWENTY scores, so it’s really figured on your “best” scores—and your worst scores do not impact your handicap. Handicaps represent your potential, not your average score.

THE SCORE YOU TURN IN FOR HANDICAP PURPOSES MUST BE ADJUSTED:

If you really mess up a hole (like taking an 8 on a par-three)…you must adjust the score based upon the table below. Here, too, it depends on your handicap.

ADJUST YOUR SCORES WITH

EQUITABLE STROKE CONTROL (ESC)

18 Hole Handicap Max. score on a hole

9 or less      Double Bogey

10 through 19              7

20 through 29              8

30 through 39              9

40 through 49             10

50 and above             11

The score you post is therefore called your Adjusted Score. You should also note which tees you played. The computer will combine these factors to determine your handicap.

Guest Policy

For most people, entertaining guests on the golf course is an important part of membership at a private Club. The staff at Dellwood is committed to doing everything possible to make your guests’ visit an enjoyable one.

  1. All members must register guests with Golf Operations before play.
  2. Tee times must be scheduled according to the “course access” chart or with permission from the Golf Shop.
  3. Members are responsible for their guests’ adherence to the Club’s dress code.
  4. It is the responsibility of the member, when bringing guests, to monitor their pace of play.
  5. No member, spouse, or child may extend golfing privileges to the same guest from within the Twin Cities Metro area more often than twice per month.
  6. Members are responsible for the fees and charges of their guests and fees will be billed on the members statement.

Metro area guests may be entertained by any golf member no more than twice per month with the exception of tournaments. Dellwood Athletic and Dining members are considered metro area guests under this policy. Guests must be registered with Golf Operations prior to playing. We require that guest names be included when making tee times on Foretees.

Junior Policy

In order to play golf or use the practice facilities unsupervised, a junior member below age 15 must have achieved Advanced Junior Designation. Juniors achieving  Advanced   Junior designation have the additional privileges of playing without a supervising adult, and making tee times on their own. This designation is granted by achieving the following criteria: To become an Advanced Junior, the player must pass a written Rules and Etiquette Exam, and demonstrate the ability to play at proper pace (2 hours for nine holes). Upon achieving Advanced status, the  junior will  receive a bag tag with the designation ADV next to their name to be displayed on their bag. Call the Golf Shop for playing times and privileges, or refer to the Golf Course Access Chart in this handbook. Parents are  responsible for the actions of their children at all times when those children are on Club property. Parents of all juniors who have not achieved Advanced  Junior  Designation must be within the immediate vicinity of their children at all times when those children are on the golf course or practice facilities. Adult sons or daughters of members are described as children of members between the ages of 15 and 22, who have previously achieved the Advanced Junior Designation. They have the same course access as the  category in which their parents belong.

The short-game practice area will be made available from 6:30 am on weekends and 7:30 am on weekdays, until dusk. Practice balls are supplied on the practice tee during these times for use by members and guests. The practice area may be closed temporarily for maintenance or during extremely wet conditions. Range balls are the property of the Club and may not be taken from the practice area. Hitting from the practice tee to the chipping green is prohibited. Taking range balls from the practice area will result in a $50 charge to the member’s account.

Golf Carts

Each person using a cart must have Golf Operations authorization and does so at his/her own risk. Each person renting or driving a cart is responsible for any personal injury or     property damage caused, including (without limitation) injury to him/herself  or damage to the cart and agrees to indemnify the Club against all loss, claims or expenses resulting from use of any carts rented by the member and guests.

Golf carts supplied by Dellwood Country Club are the only carts allowed on the golf course grounds. They can be driven only by members and guests in possession of a valid driver’s license. No one under age sixteen (16) is allowed to operate a golf cart.  We recommend using a 90 degree rule at all times to enhance the experience of using a cart and protecting the golf course.

No cart will be driven on any tee or within 30 feet of any green or through any sand bunker. Directional signs and ropes for the traffic control of carts are to be observed. Golf carts must be returned to the Golf Shop prior to dark. Only two riders per golf cart.

Anyone who disregards these rules will have golf cart privileges revoked for a minimum of 30 days. All members are asked to report violations of golf cart regulations to the Golf Shop as soon as possible. Repairs to a damaged cart will be charged to the member.

Getting the most out of our Caddie Program

Members willing to commit to supporting our Caddie program will get priority status for caddies.

Caddie priority will help ensure you have the caddie of your choice for key events (Club Championships, Match Play and Major Member events) and throughout the season.

Those members who commit to one of the following (by contacting the Golf Shop) will receive priority regarding caddies:

A Priority – Commit to taking a caddie each time you play during the 2018 season

B Priority – Commit to taking a caddie when you play on certain days each week (Weekends, or Wednesdays, etc.)

C Priority – commit to taking a caddie whenever one is available

Caddies will generally be available on weekend mornings. Should you desire a caddie at any other time make sure you designate that you want a caddie when making your tee time on ForeTees. The Golf Shop will do their best to set you up with your preferred caddie or caddie of the same level.

Women’s Golf

All women members of Dellwood Country Club are encouraged to participate in Women’s golf events. Weekly golf events are held on Thursday mornings (tee times 8:00 to 9:00am) and Tuesday evenings (tee times 4:00 to 6:00pm).

Children’s Safety and Etiquette

We want children to have an educational, safe and fun experience on our golf course with their parents. Safety and etiquette are always a priority. We ask all members to use discretion and common sense when taking children on the course. There are some specific requirements:

  • Children under the age of 16 are not allowed to operate golf carts.
  • Make sure children do not stray. They need to stay close to you and your cart.
  • Children should not play in the sand traps, play with the flagstick, and must be careful not to damage the greens.
  • Watch children carefully when they are near water hazards.
  • If you are with children on the course and not staying well ahead of the golfers behind, you are expected to let them play through.
  • If children take divots with their Clubs, you are responsible for repairing them. The same applies to ball marks on the green.
  • Make sure children are in sight and out of the way when hitting or teeing off. A golf ball travels at speeds of 120-180 mph as it leaves the club head and can cause serious injury.
  • Most importantly, be safe and have fun!

Derby Tournaments

The Men’s Derby tournament is a unique event in which all men are automatically entered. The fee is $20 (contact the office if you do not want to participate). Each player’s lowest five net scores shot in medal play events from the Men’s Opener through September 2nd will be used for qualifying. The top 11 qualifiers plus the defending champion are eligible for the Derby on September 21st.

The Women’s Derby. Women members are automatically entered and can qualify to play in the Derby by having a minimum of four (4) rounds played on Thursday morning or Tuesday evening events. The fee is $10 (contact the office if you do not want to enter). Your scores from Best Ball, Match Play, Guest Day, The Challenge, Traveling Team and any Shotgun Events that are not standard play rules do not apply towards the Derby  Tournament. The Derby will be played on September 21st. It is important that you write your first and last name on your score card and turn it into the Golf Shop for each event.

Pace of Play Expectations = 4 Hours

Keep up a brisk and comfortable pace and be ready to hit when it’s your turn.

Golf members at Dellwood Country Club place a premium on maximizing the enjoyment of golf for everyone on the course. To minimize or eliminate waiting or inordinately long rounds of golf, the Advisory Committee has established a 4 hour expectation for a round of golf. With a shared understanding of guidelines for efficient play, brisk and enjoyable rounds of golf can be achieved by all players. Whether your handicap is 6 or 36, knowing what to do, and what the other players expect of you, will contribute to achieving this common goal.

  • When others are preparing to hit, you should prepare to play as well.
  • Walk briskly toward your ball as long as you are not in, or near, the line of the player who will hit next.
  • Identify your ball and select your club.
  • Assist other players in finding their ball—watch where their ball lands. If your companions are looking for a lost ball and they are not in your way, go ahead and hit before joining the hunt.
  • Determine who is “away” then hit (“away” is being furthest from the hole).
  • If you are not ready to play when it is your turn, invite another player to hit their shot if they are ready.
  • Should your group fall behind a warning will be issued to catch up to the 4:00 pace. If your group does not get back into “position” within two holes you will be instructed to pick up your ball and skip holes to get back in position.
  • Repeated rounds in excess of 4 hours will lead to restricted tee times.

The rule of “honors” on the tee in stroke (medal) play can be suspended by mutual agreement within a foursome in order to promote brisk play (you have honors if you had the lowest gross score on the last hole). Be ready and hit when it’s your turn, on the tee and everywhere on the course. It’s your turn when:

  1. You have honors on the tee.
  2. You are away “through the green” (fairway and rough areas).
  3. You are away around and on the green.
